Processing personal data
What are personal data?
Personal data are data that can identify a natural person. A person is identifiable if the identity of the person can be determined directly or indirectly, reasonably, and without disproportionate effort. Direct identifying data are, for example, the name, address and date of birth. Data that cannot be traced to an individual directly, but are traceable with the help of other data, are also understood to be personal data. This may be data such as an IP address.
Placing an order or applying to be a business customer
During the registration process for creating an account and/or placing an order or when filling in an online form, such as a contact form, you will be asked to enter your personal details. After registration, we save the personal data you have provided via the username you have chosen. We ask you to fill in the following data:
your name and first names/initials
your e-mail address
your place of residence
your telephone number
your VAT number
your Chamber of Commerce number
the delivery address
Incidentally, you can also place an order without creating an account. In that case, we also ask for the abovementioned data.
When you register as a customer or business customer, you can subscribe to our newsletter. At the bottom of each newsletter, there is a link that allows you to unsubscribe from the newsletter at any time.
Contact form or more information
If you fill out a contact form, we ask you for your name and your telephone number and/or e-mail address, depending on how you want us to contact you.
The purpose of processing personal data
Your personal data can be processed for the following purposes:
Managing your registration. We store your data so that you do not have to enter them again every time;
Handling deliveries and orders for our products and services;
To be able to contact you in connection with your order or other questions;
Handling the payment for your order;
Taking care of the transport of goods to be delivered;
Dealing with disputes;
To inform you about I Trade Beauty’s products, services, and promotions in the broadest sense of the word;
To be able to send you a newsletter;
To comply with our statutory duty, such as keeping your order history within the statutory period.
Your personal data may also be processed when this is justified:
In the interest of national security;
To prevent, detect, and prosecute criminal offences;
For compelling economic and financial interests of the State and other public bodies;
To protect the rights and freedoms of others;
For the supervision of compliance with statutory regulations set for the investigation and prosecution of criminal offences or for compelling economic and financial interests of the State and other public bodies.
Basis for processing personal data
If you place an order with us and/or fill in a contact form, we process your personal data for the execution of an agreement.
In all other cases, we explicitly request consent for the processing of personal data. If you have given consent for the processing of your personal data, you are always at liberty to withdraw this consent.
Your personal data will not be retained for longer than is necessary for the purpose for which we collect or process the data. Your personal data will not be retained for longer than is necessary to comply with a statutory retention obligation of I Trade Beauty.
Recipients of your data
Your personal data may be provided by us to the following categories of recipients:
Those who are in charge of or necessarily involved in the execution of the agreement, such as delivery services;
Those who are in charge of or necessarily involved in communicating with you;
Others, if you have unambiguously granted consent for this;
Others, if the data processing is necessary for the fulfilment of a statutory duty by I Trade Beauty;
Others, if the data are exclusively processed for statistical or historical purposes.
The information provided to these recipients will be deleted at your request or no later than one year after the relationship between I Trade Beauty and these recipients has been terminated.
Transmission to other countries
Your personal data will not be transmitted to countries outside the EU.
Objection & rectification
You can object free of charge to the use of your personal data for direct marketing purposes without having to give a reason for this by sending an e-mail to firstname.lastname@example.org. I Trade Beauty will terminate the use on first request.
In all other cases, you can object to the processing in connection with particular personal circumstances by sending an e-mail to email@example.com. Within four weeks of receiving the objection, I Trade Beauty will assess whether the objection is justified. In that case, I Trade Beauty will terminate the processing.
If your personal data are not correct, you can request I Trade Beauty to rectify your personal data by sending an e-mail to firstname.lastname@example.org. I Trade Beauty will inform you within four weeks by e-mail to what extent it can comply with the request for rectification. Rectification will take place if the personal data are factually incorrect, incomplete, or irrelevant for the purpose for which they are being processed or are in some other way being processed in violation of the privacy regulations.
Finally, we would like to inform you that you are entitled to submit a complaint about the processing of your personal data by us to the Dutch Data Protection Authority if your complaint has not been, or is not being, handled satisfactorily by us.
Safeguarding of personal data
I Trade Beauty has taken appropriate technical and organizational measures according to the standards of current technology to prevent loss of data or unlawful processing of your personal data. In order to guarantee this safety, I Trade Beauty uses encryption of the communication between the server and your computer, encryption of the stored data, periodic backups, and other means.
